When people ask what I do for work, I often get the same response “Oh, just a receptionist?”
The vital role of a receptionist in any business can sometimes be given the thumbs down by those who have not experienced a day in the life of one. Receptionist’ often get stereotyped as being short tempered or hostile, and that they are ranked rather low in the food chain. A receptionist is a crucial role in the structure of the business and many organisations would struggle to function without a competent person at the coal face.
Being the first point of contact, either in person or on the phone, the receptionist is the initial impression experienced by clients and business associates. It is important in promoting the core values of the company and achieving our vision. At Fisher Jones Greenwood we strive to achieve excellence through our expertise, this includes reception. You never get a second chance to make a first impression.
What qualities should a receptionist possess? Due to the varied role, quite a few. It is about answering the telephone efficiently and being able to direct the enquiry and making every caller feel welcome. It is about using discretion to respect client privacy. It’s about greeting clients as they walk through the door and making sure that the reception area is welcoming with a plant filled, bright and tidy entrance. It is about having a ready smile and welcoming reaction so the client feels relaxed. This creates an immediate bond and good relationship. Multi-tasking is essential.
Clients come a see us for many different reasons. Some may only be dropping in documents, others in need of advice. I deal with clients who are emotional because they have lost a loved one or they are going through a difficult time due to a relationship breakdown. They need my compassion and understanding or just a cup of tea.
It’s not just clients a receptionist has to deal with, There are business enquires and cold calls that have to be directed to the right person, deliveries, post, office supplies and many other duties.
I have been in this role for just over a year and from my experience I can guarantee you that I am not “just a receptionist”.
